practical aspects to address documentation It's absolutely essential that you document your work. Personally I'm rubbish at this so I go on the first day of the show and take a whole roll of slide film (stopping up and down) as well as digital images so that if they are completely and unusably dreadful I have time to re-do them.
transport will you need a van to pick up everybody's work in?
invigilation - everyone hates this. You should consider how long you are all prepared to take turns to sit in the gallery for. This might help you to decide how long the show should stay up for.
technical equipment - will you need DVD players and lights and so on? If so how will you stop them being nicked? Will you insure the stuff? Can the space help with this?
the opening Is it appropriate to have music? Or beer? Or performance works? What is the optimum time for this? 6-8pm? 7-9pm? 1-2pm?

I can only put a few things here - you'll probably know of better/cheaper suppliers. If so please share them here!
Chelsea is in the proces of buying bookable stuff that might be useful. This is along the lines of DVD players and projectors, Video cameras and digital cameras for documentation, lights and so on. No clear idea yet of when this will be available. As soon as I know I'll tell you.
